Research and Family History forms

If you have ANY problems using the Research Services online forms or emailing them to the GSV please take note of these tips:

  • IMPORTANT: If you do NOT receive a reply / acknowledgement to your Research Request, then your Form may not have been sent correctly.  Please check these procedures and use an alternative method of sending.Sending other attachments to the GSV:
    • This is specifically for documents required to support your Research Request - certificates, charts etc.
    • This forms enables you to attach multiple PDF files to the form that will be sent direct to the Research Department [the file type is a server restriction that only handles PDF files]
    • If you have files that are different file types [e.g. .jpg files] please complete the contact form with no attachments but identify what you're trying to send and you will receive instructions from the Research Department.  Alternatively you could scan, convert or save your other file types as PDF files which can then be sent.

Extended research - hourly

Description Extended Research is carried out by an experienced team and is available for Members and Non-Members.
Conditions
  • Requests will be answered in order of receipt and there may be some delay
  • Clearly state what you wish us to investigate
  • Please include copies of all relevant documents you hold
  • Download and complete Pedigree Charts and Family Group Sheets for those you are resaerching - this ensures that we don't waste time on what you already know and helps us to understand relationships.  Otherwise we have to compile these in your paid time and we may get it wrong!
Options Members who live outside a 100 km radius from Melbourne GPO may have ONE FREE ANNUAL request taking up to two hours.
Costs

Members $30.00 per hour prepaid

Non-Members $50.00 per hour prepaid

  This hourly fee includes limited copying and postal charges - email is more efficient and cost effective.
Action / Steps
  1. Determine number of hours research.  We usually recommend two hours to start but we are happy to begin with one hour.  At the end of that time we send a report, often with digital or paper images, and advise whether it is worth continuing.
  2. Prepare relevant forms [Pedigree Charts and Family Group Sheets]
  3. Pay for research: Members OR Non-Members OR alternative methods of payment
  4. Submit your Extended Research Request Form with attachments
  5. Alternatively post, or deliver in person

Victorian Probate papers and Inquests

Description

The GSV will obtain copies of these documents from the Public Record Office Victoria (PROV)

  • Victorian probate papers 1841-2009 (Indexes to 2009 and images to 1925 are available free online on PROV website)
  • Victorian inquest papers 1840-1985
Conditions
  • If you do not provide accurate reference details, this service only includes minimal searching of published indexes for the Probate or Inquest - there is no refund if the documents cannot be found.  If in doubt you should consider an eResearch / Quick lookup [Members] or a Lookup service [Non-Members]
  • Documents are sent as digital copies to you by email [included as part of this fee]
  • If prints are required, an invoice for photocopies at 65 cents per page and postage will be sent.

Public Record Office Victoria other documents

Description

The GSV will obtain copies of specified documents from the Public Record Office Victoria (PROV)

Conditions
  • For Probate or Inquest papers, use the Probate or Inquest service above.
  • You must provide FULL and specific reference details - this option does not include searching for documents - this would be an eResearch / Quick lookup [Members] or an  Extended research request - hourly [Members and Non-Members]
  • Documents are sent as digital copies to you by email [included as part of this fee]
  • If prints are required, an invoice for photocopies at 65 cents per page and postage will be sent.

Consultations

Description

An appointment can be made for ONE hour with a research consultant.

Conditions
  • Area and timeframe of your research is required before an appointment can be made
  • Download and complete Pedigree Charts and Family Group Sheets
  • Bring copies of all relevant documents you have collected to the consultation - please do not bring original documents
  • Generally, individuals continue their own research following the consultation.
  • If you wish the GSV to continue research for you, you will need to submit an Extended research request - hourly

Members $30.00 per hour

Non-Members  $50.00 per hour

Transcription and translation of documents

Description Transcription or translation of various historic documents can be provided based on good quality digital copies of original documents.
Conditions
  • 17th and 18th century documents (e.g. wills, deeds and marriage licences) can be transcribed
  • Latin translations are also available
  • Good digital copies of original documents must be submitted.  A quote for costs [based on an hourly rate] may be requested.

Non-Members  $50.00 per hour

eResearch / Quick lookup

Description eResearch is carried out by an experienced research team and is available for Members only.
Conditions
  • Clearly state what you wish us to investigate
  • Requests will be answered in order of receipt and there may be some delay
  • You may send in ONE request at a time for ONE question or lookup of a specific record set on ONE person
  • The Research Manager will notify you if your request cannot be completed in the allocated time - you will then need to submit an Extended research request - hourly
  • Download and complete a Family Group Sheet showing sources - this ensures that we don't waste time on what you already know and helps us to understand relationships
  • Please include copies of any relevant documents
  • On receipt of your answer you may submit another question

Lookup service for Non-Members

Description

This includes looking up an index or a record taking no longer than 15 minutes and may include digital images or up to four prints and postage. Payment of $20.00 must be paid advance.

General Register Office (GRO) Certificate

Description

England and Wales birth, death and marriage certificates, births and deaths at sea and events regisitered with UK Consular and armed services personnell may be purchased online

Use the information from the GRO indexes 1837-c.2006 to complete the form.  Please check the GRO indexes carefully as the fee is non-refundable.

Scottish birth, death and marriage certificates

Description

Images of Statutory (civil) registration may be purchased for births 1855-1913, marriages 1855-1939 and deaths 1855-1963 online. Old parchial registers, census records and wills are also availiable. England and Wales Wills

Description

Wills and probate may be searched for people who died in or after 1858 to current times. A 'grant of representation' gives someone the legal right to deal with a deceased person's estate but not all grants of representation contain a will. Check the type of grant when you search:

  • 'Probate' or 'Grant and will" - a will exists and will be provided
  • 'Admon with will' or 'Grant and will' - a will exists and will be provided
  • 'Administration (Admon) or 'Grant' - a will doesn't exist amd won't be provided

FamilySearch (LDS) film hire

FamilySearch (LDS) film hire

The GSV is a designated centre to receive LDS microfilms for viewing in the Library. Short-term microfilm loans have a 60-day loan term plus 30 days for shipping to the centre. The 90 days begin when the order is “shipped” and the cost per film is $7.75. Extended microfilm and microfiche loans do not have a defined return date and cost $19.50. Payment must be made to the LDS by credit card or PayPal. The website address for ordering microfilms is:  https://familysearch.org/films/
